The experience

We aren't a vendor visit. We're four weeks of being in the building.

Week 1

We sit in your Monday huddle. We follow the intake coordinator for a morning. We ask your billing lead what makes her week worse.

Week 2

We walk your clinicians through how they actually use their tools, not how the EHR vendor said they would. We map what's painful, where, and why.

Week 3

We score you, honestly. We bring you the rubric and explain every mark. You disagree, we adjust, we explain again.

Week 4

We present to leadership and clinical/ops staff together. Plain language, named projects, real numbers. You leave with a plan, and the option to do nothing further with us.

By Week 4, your team, not just your leadership, knows us. That is the point.

What an engagement looks like

A sample engagement, start to finish.

We're a new firm and we won't pretend otherwise, so this isn't a testimonial. It's a composite of the situation we see most often (a 120-staff community mental health center running TherapyNotes for clinical records, QuickBooks for finance, and Google Sheets for everything in between) and exactly what we'd do about it, week by week.

Week 1

Listen and shadow

We sit in the Monday huddle, follow an intake coordinator for a morning, and interview clinicians, billing, and leadership separately. We watch where TherapyNotes ends and the spreadsheets begin; that seam is where the hours go.

Week 2

Map the real workflow

We document the actual paths: a referral arrives by fax, gets typed into a Google Sheet, re-typed into TherapyNotes at scheduling, and re-typed again into the grant tracker at month-end. Three entries, one client, every time.

Week 3

Score honestly

The org scores well on culture and talent, low on tech and governance. We bring the rubric, explain every mark, and adjust where leadership shows us something we missed.

Week 4

Deliver the plan

A sequenced, budgeted 18-month roadmap, presented to leadership and frontline staff together. First project named: a referral-to-intake pipeline that enters data once and syncs to TherapyNotes via its API and to the grant tracker automatically.

Weeks 5–12

Build (if they choose to continue)

We build the intake pipeline and a leadership dashboard that pulls from TherapyNotes and QuickBooks, so the month-end report assembles itself. Clinicians test it in week two of the build, not after go-live.

Operate

A named Verbena contact, not a ticket queue, monitors the integrations, ships small improvements monthly, and re-measures clinician desk time each quarter against the 5–8 hour weekly target.
